This Privacy Policy explains how Hyak Consulting, LLC (“we,” “us,” or “our”) collects, uses, and shares information when you visit areyoubeeping.org (the “Site”).

We are a small business. We do not sell products through this Site, we do not process payments here, and we do not sell or rent personal information to anyone. The Site exists to describe our products, let you contact us, and give our customers a place to get documentation and support.

1. Information You Provide

Contact forms

The Site has two contact forms — a quote request and a support request. When you submit one, you provide information such as your name, email address, organization, and the content of your message. Submissions are delivered to us by email at our sales and support addresses, where they are retained in our email records so we can respond and keep a history of the conversation. A copy is also written to our customer records database, which is hosted by Airtable, so that an inquiry is not lost and we can follow it through to an answer. We do not record your IP address in that database.

Please do not send sensitive personal information through these forms. We only need enough to answer your question.

Customer accounts

The Site offers a customer area containing product documentation, firmware downloads, a customer forum, and device and warranty status. Registering is voluntary — everything else on the Site is readable without an account.

When you register, we collect a username, your email address, your organization, and the serial number of a device you own or operate. We use the serial number to confirm that a registration comes from an actual customer. Every account is reviewed and approved by a person before it becomes usable; until then it cannot sign in.

Once your account is active, we hold your password only in hashed form — we never see or store the password itself — and our security software records sign-in times and the IP addresses used to sign in, so that we can detect unauthorized access to your account. If you post in the customer forum, your posts and the username shown beside them are visible to other approved customers and are kept as part of the discussion.

We also record which files you download from the customer area — firmware and documents — along with your username and the time. We use this so that we can tell which firmware version a unit is running when you contact us for support, and so we know who to notify if we ever have to withdraw a release. We do not record your IP address against downloads.

2. Information Collected Automatically

Like most websites, the Site and the services supporting it collect certain technical information automatically:

  • Server logs. Our hosting provider records IP addresses, timestamps, requested pages, referring pages, and browser/user-agent details as part of operating the server.
  • Analytics. We use Jetpack Stats to understand aggregate traffic — which pages are viewed, roughly where visitors come from, and which sites link to us. Jetpack Stats is provided by Automattic Inc. and processes visitor IP addresses and page-view data on Automattic’s servers.
  • Image delivery. Images on the Site are served through Jetpack’s image CDN (Photon), operated by Automattic. When your browser loads an image, your IP address and browser details are visible to that service.
  • Security monitoring. We use Wordfence and Jetpack Protect to defend against attacks and unauthorized login attempts. These record IP addresses and request details, and share IP reputation data with their operators (Defiant, Inc. and Automattic, respectively) to identify malicious traffic.
  • Spam filtering. Akismet, operated by Automattic, checks form and comment submissions for spam. This involves sending the submission — including the sender’s IP address and email address — to Akismet for evaluation.

3. Cookies and Similar Technologies

The Site uses cookies for essential functions such as maintaining your session if you log in, and for the analytics and security services described above. Most browsers let you refuse or delete cookies through their settings. Blocking cookies may affect how parts of the Site behave, but you can browse and read the Site without accepting non-essential cookies.

We do not use advertising cookies, and we do not participate in cross-site advertising networks that track you across unrelated websites.

4. How We Use Information

We use the information described above to:

  • Respond to your quote requests, support requests, and other inquiries
  • Provide technical support and product documentation
  • Create and administer customer accounts, confirm that a registration comes from a customer, and give approved account holders access to documentation, firmware, the forum, and device status
  • Know which firmware and documents a customer has downloaded, so we can support the unit in front of us and reach the right people if a release has to be withdrawn
  • Operate, secure, and maintain the Site
  • Understand aggregate traffic patterns so we can improve the Site’s content
  • Comply with legal obligations

We do not use your information for automated decision-making or profiling, and we do not sell or rent personal information.

5. Service Providers

We share information only with providers who help us operate the Site, and only as needed for that purpose:

  • Bluehost — web hosting and email infrastructure
  • Automattic Inc. — Jetpack (analytics, image delivery, security) and Akismet (spam filtering)
  • Defiant, Inc. — Wordfence security
  • Airtable, Inc. — the database holding our inquiry and customer records

We may also disclose information if required by law, to respond to lawful requests from public authorities, or to protect our rights, safety, or property.

6. Legal Bases for Processing (EEA and UK Visitors)

If you are in the European Economic Area or the United Kingdom, we process your personal data on the following bases:

  • Legitimate interests — responding to inquiries you send us, securing the Site against attack, and understanding aggregate traffic. We consider these interests balanced against your rights and freedoms.
  • Consent — where you have given it, for example by choosing to submit a form or subscribe to updates. You may withdraw consent at any time.
  • Performance of a contract — administering your customer account and providing the documentation, firmware, and support that come with a device you own.
  • Legal obligation — where we must retain or disclose information to comply with applicable law.

7. International Transfers

We are based in the United States, and the Site, its hosting, and our service providers store and process information in the United States. If you contact us from outside the United States, your information will be transferred to and processed in the United States, where data protection law may differ from that of your own country. By using the Site or contacting us, you understand that this transfer takes place.

8. Your Rights

Depending on where you live, you may have the right to:

  • Request a copy of the personal information we hold about you
  • Ask us to correct information that is inaccurate or incomplete
  • Ask us to delete your information
  • Object to or ask us to restrict certain processing
  • Receive your information in a portable format
  • Withdraw consent where processing is based on consent
  • Lodge a complaint with your local data protection authority

To exercise any of these, email us at support@areyoubeeping.org. We will respond within the time required by applicable law, and normally much sooner — we are a small operation and inquiries reach us directly. We may need to verify your identity before acting on a request.

9. Data Retention

We keep inquiry correspondence for as long as needed to support you and maintain a record of our business relationship, and then for a reasonable period afterward for our own records. Customer account information is kept while the account is open; if you close it, we delete the account, its registration details, and its download records. Forum posts you have made may remain in the discussion, and we will remove or anonymize them on request. Server logs and security records are retained on a rolling basis, typically for weeks to months. Aggregate analytics data does not identify you individually and may be retained indefinitely. You may ask us to delete your correspondence or your account at any time using the contact details below.

10. Security

We use HTTPS across the Site, maintain security monitoring and two-factor authentication on administrative accounts, and keep the Site’s software updated. The customer area is restricted to accounts we have individually reviewed and approved, and customer accounts have no administrative access to the Site. No method of transmission or storage is completely secure, and we cannot guarantee absolute security, but we take reasonable measures appropriate to the sensitivity of the information we hold.

11. Children

The Site is intended for a general and professional audience and is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

12. Do Not Track and Global Privacy Control

We do not track visitors across third-party websites for advertising, so we do not respond differently to Do Not Track or Global Privacy Control signals. Where our analytics provider honors such signals, that behavior applies.

13. Third-Party Links

The Site links to other organizations, including avalanche centers and educational resources. This policy does not cover those sites. We encourage you to read the privacy policy of any site you visit.

14. Changes to This Policy

We may update this policy as our practices or the services we use change. The “Last updated” date above reflects the most recent revision. Material changes will be noted on this page.
